We don't send you a VA

  • Not a general-purpose virtual assistant
  • Not outsourced freelancers
  • Not resume forwarding
  • Not a traditional staffing firm

A virtual assistant is a generalist you hand tasks to. You stay the expert, you stay the bottleneck, and the work only moves as fast as you can explain it.

We place specialists. Someone who has run prior authorizations, built takeoffs, closed a month end or managed a leasing pipeline before, and who can own that function inside your workflow instead of waiting for instructions.

They join your existing team, tools and processes as a long-term member of them. Sourcing, screening, training, security and account management stay ours.

A leadership team meeting with remote colleagues joining on screen

You get a team member. Everything standing behind them is ours.

Your specialist sits in your stand-ups, works your queue and answers to your priorities. Sourcing, training, security and account management never touch your side of the table.

What makes us different

Anyone can send you a resume. The work that decides whether a placement holds up happens before, during and long after the match.

LUCA-powered matching

Our proprietary matching engine pairs specialists to roles on real fit signals — not keyword-matched resumes and not gut feel.

SME-approved

An in-house subject matter expert reviews and approves every specialist before they ever touch a client system.

TLGU up-skilling

TechLoom Global University trains every specialist in executive presence, solution-oriented thinking, client communication and next-steps discipline — and keeps training them for the length of the engagement.

Dedicated account manager

Every engagement gets one, with ongoing check-ins for the life of the engagement. We stay involved long after placement day.

Enterprise-grade security

HIPAA-aligned data standards, background checks, executed NDAs, client-controlled access, and 24/7 monitored VPN infrastructure.

Consultative from day one

We help define what success actually looks like in the role before we fill it. Filling a seat is the easy part.

The best offshore talent goes where it gets better

Most firms treat a specialist as inventory: place them, bill them, move on. That is why their benches churn and why the strongest people leave them first.

  • We up-skill continuously. TLGU isn't an onboarding week. Specialists keep training through the engagement, so the person you have in month twelve is better than the one you started with.
  • That investment is why A-players come to us. Ambitious people choose the firm that develops them. We get first look at talent that would never answer a recruiter.
  • And it is why they stay. Retention is the part clients feel. No re-hiring, no re-training, no rebuilding context every nine months.

How pricing works

A flat monthly rate for the role. It's set by the role type and the level of experience you need — and it's the same number every month, whatever the workload does.

1–2 years

Entry

For defined, repeatable work with documented process behind it. They execute the workflow accurately and at volume, and escalate the edge cases to your team.

3–6 years

Experienced

For a function you want owned end to end. They handle the exceptions themselves, spot what's breaking upstream, and need direction rather than instruction.

7+ years

Senior

For work that has never been properly set up. They build the process, carry the escalations, and sit in the room with your leadership as a peer.

What that rate includes

One number covers the specialist, the training behind them, the security infrastructure around them and the account manager on top of them. There is nothing else to add later.

$0Upfront. No deposit and no placement fee, ever.
FlatSame monthly rate, set by role type and level.
30 daysRisk-free trial inside your real workflows.
14 daysBusiness days from contract execution to activation.
Nothing extraNo benefits, payroll tax, equipment or overhead on your side.

The only reliable way to know whether someone is an A player is to watch them work in your environment.

A resume tells you where someone has been. A 30-minute interview tells you how well they interview. Neither tells you whether they hold up on your tools, against your standards, with your team around them. So we let you find that out before you commit to anything.

  • Thirty days inside your real workflows, at no cost
  • Your tickets, your tools, your team's standards — not a test task
  • Walk away at any point in it with nothing owed
  • Your account manager reviews the fit with you before it converts

Industries and roles we support

How we compare to a traditional recruiting firm

The difference isn't the candidate pool. It's who carries the risk, what happens after the start date, and what you're actually paying for.

How we engage

Three steps from first call to an embedded specialist working inside your team.

1

Define the role

A discovery call to identify the exact responsibilities, workflows and outcomes the role has to own.

2

Match with LUCA

Our matching engine pairs you with the best-fit specialist from our vetted bench, scored on real fit signals.

3

Onboard and partner

Our SME approves the fit, your account manager stays engaged, and secure monitoring runs throughout.

Scope the role in sixty seconds

Pick the work that's eating your team's week and the level you need behind it. You'll get the specialist profile we'd actually match against — and you can send it straight to us.

1Where does the work sit?
2What's taking up your team's time?
3How much experience does it need?

The business case

Value stacks across three layers. The first is the easiest to measure; the other two are usually worth more.

Roughly half

Direct overhead savings

About half the cost of a comparable local hire once salary, benefits and overhead are all counted — without giving up dedicated, full-time capacity.

Hours back

Leadership time recaptured

Senior people stop absorbing work below their level and get back to the revenue-generating activity you hired them for.

New capacity

Growth without headcount risk

Freed bandwidth lets the business pursue a bigger pipeline — and take on the work it has been turning away.

A project team reviewing construction drawings together Construction — multi-site rollout program

A national rollout contractor needed program capacity, not another headcount req

The client delivers multi-site rollout programs: dozens of near-identical builds running concurrently across states, each with its own AHJ, its own permit clock and its own local sub base. That model works until the program team itself becomes the constraint.

Their project managers were already carrying full site loads. The hours were going to chasing COIs, rebuilding three-week look-aheads and assembling closeout binders — coordination work that has to happen, but that nobody hires a PM to do. Hiring against it meant a fully loaded APM per region, a quarter of ramp time, and a fixed cost that would outlive the program.

What we embedded

Associate Program Managers, TLGU-certified and SME-approved, working inside the client's own project management platform and document control stack, on credentials their team issued and controls. They sit in the OAC calls, not behind a ticket queue.

Vendor and trade coordination

  • Prequalify subs and chase COIs, W-9s and executed subcontracts before mobilization
  • Level scopes across bidders and flag the gaps before buyout
  • Hold trades to the three-week look-ahead, site by site
  • Track long-lead items and FF&E against each site's ready date

Document control

  • Log, route and expedite submittals and RFIs through to closure
  • Distribute ASIs and drawing revisions so every site works off the current set
  • Maintain the PCO and change order log with backup attached
  • Collect as-builts, O&M manuals, warranties and lien waivers as the job runs

Schedule and reporting

  • Publish the weekly look-ahead per site and flag slippage early
  • Roll site-level status into one program dashboard the owner actually opens
  • Prepare OAC agendas, capture minutes, chase the actions out of them
  • Track permit and inspection dates against the critical path

Closeout and billing

  • Assemble pay applications against the schedule of values with backup
  • Run punch tracking from the walk through to sign-off
  • Drive TCO and certificate of occupancy documentation
  • Deliver the closeout package so the site can actually be turned over

More engagements

A sales agent walking a couple through a new home Residential construction
60%Lower cost than the in-house equivalent

A homebuilder needed a sales floor, not a job posting

Growth had outrun the team's ability to hire against it. Rather than run a recruiting cycle per seat, we took ownership of sourcing, onboarding and training an entire offshore sales function, wired into their existing CRM and cadence.

  • 30 specialists placed and productive inside three weeks
  • 25% lift in sales performance against their prior baseline
  • Cost roughly 60% below the comparable local build

Roles embedded: sales development, appointment setting, pipeline coordination

A coordinator working at a clinic reception desk Behavioral health
3 rolesEmbedded across intake and revenue cycle

Clinicians were spending their afternoons on payer portals

A multi-site behavioral health group had licensed clinicians chasing prior authorizations and rescheduling no-shows between sessions. We embedded three specialists against the three workflows that were eating clinical time, working directly in their EHR under credentials the practice controlled.

  • Prior authorization moved off clinicians entirely
  • Intake and scheduling covered through the full working day
  • Claims and AR follow-up worked daily instead of weekly

Roles embedded: prior authorization specialist, patient care coordinator, billing specialist

An estimator marking up construction drawings Commercial construction
2 rolesEstimating and project coordination

The bid pipeline was capped by one estimator's calendar

Every bid ran through a single senior estimator, so the business was turning down work it could have won. We embedded a senior estimator to carry takeoffs and a project coordinator to run submittals and RFIs, leaving the in-house lead to price the jobs that mattered and review the rest.

  • Takeoffs and bid packages prepared before the lead picks them up
  • Submittals, RFIs and schedule tracking handled end to end
  • More bids out of the door without another local hire

Roles embedded: construction estimator, project coordinator

Savings vary by role, market and scope. We model the specific comparison for your roles during the discovery call.

Your data is handled the way your compliance team would handle it

Your specialist works inside your systems, so the controls around them are built for that from day one. Compliance certification is how we prove the standard — the practice is what happens daily.

Monitored around the clock, not audited once a year

Every session runs over a secure VPN with continuous monitoring, on credentials you issue and can revoke in a second.

Every specialist clears background screening and identity verification before they're placed.

NDAs executed before start

Confidentiality agreements are signed and in force before anyone touches a system or a record.

We're a good fit if

Most of our clients arrive at the same point: the work is growing faster than the team, and another local hire isn't the right answer.

  • Your leadership team is absorbing administrative or operational overflow
  • You need someone who already knows your industry and can hit the ground running, not a generalist you have to train first
  • You want to grow operational capacity without a long ramp-up on a new hire
  • You want a lower-overhead alternative to a full-time local hire
  • You want a long-term partner who stays engaged well after the placement
TechLoom Global SOS Children’s Villages
A child supported by SOS Children’s Villages One placement, one child

Every specialist we place sponsors a child

We partner with SOS Children’s Villages, who give children without parental care a family and a permanent home. For every specialist we place with a client, we sponsor a child.

Serving others is part of why this company exists, not a campaign running alongside it. Caring for the next generation matters to us — and it means every engagement a client starts here reaches further than their own team.

Questions we get asked

If yours isn't here, ask it on the call. We'd rather answer it before you commit to anything.

Ask us directly
Is this just a virtual assistant?

No, and the difference matters. A virtual assistant is a generalist who waits for tasks, which means you stay the expert and the work only moves as fast as you can explain it. We place specialists who have already run the function — prior authorizations, takeoffs, month-end close, leasing pipelines — and who can own it inside your workflow.

Is this outsourcing?

Not in the way that word is normally used. Your specialist works inside your team, your tools and your workflows as a long-term member of the team, and you direct the work the same way you would with any employee. What sits behind them is ours: sourcing, screening, training, security and ongoing account management.

What does it cost to get started?

Nothing. No deposit, no placement fee, nothing owed before you have seen the work. Once the engagement activates, you pay a flat monthly rate for the role. That rate is set by the role type and the experience level you need — entry (1–2 years), experienced (3–6 years) or senior (7+ years) — and it is the same number every month. It does not move with hours, volume or output.

Why a 30-day trial instead of a longer interview process?

Because a resume tells you where someone has been and an interview tells you how well they interview. Neither tells you whether they hold up on your tools, against your standards, with your team around them. Thirty days inside your real workflows answers that properly, and you can walk away at any point in it with nothing owed.

How quickly can someone start?

Fourteen business days from contract execution to activation. That window covers matching, SME approval, security onboarding and the handover into your systems.

How do you protect our data?

We hold current HIPAA certification and apply that standard across every engagement. In practice that means background checks and identity verification, NDAs executed before the start date, client-controlled system access with no third-party tooling in between, annual cybersecurity training, and a 24/7 secure VPN with continuous monitoring.

Which roles can you fill?

We build specialist benches across healthcare, construction, real estate, technology, finance, and marketing and media — from credentialing and prior authorization through estimating, project coordination, development, analysis and bookkeeping. If the role is operational and process-driven, it can be embedded.
